School/Center Overview

The Division of Facilities and Real Estate Services (FRES) provides the expertise, business process, policies and standards required to plan, design, construct, operate, maintain and renew the physical assets of the University, excluding the health system. In addition, the Division, comprised of approximately five Departments, is responsible for the strategic planning, management and operation of non-academic University property, and collaborating with the neighborhood to create a safe, diverse and economically vibrant destination. With close to 12M square feet of space, FRES maintains 186 buildings on a campus of 276 acres, completes over 60,000 maintenance requests per year, and starts approximately 250 projects a year. FRES is comprised of the following Departments: Administration, Office of the University Architect, Design and Construction, Real Estate, Operations and Maintenance.

The University of Pennsylvania is implementing a campus transformation entitled Penn Connects (http://www.pennconnects.upenn.edu). This comprehensive, award winning effort is expanding the campus over the next 20 years, including the construction of new academic research and recreational facilities. In addition, the University has secured $300M in Century Bond funding and continues to upgrade existing facilities over the coming years. https://www.facilities.upenn.edu/

Duties

Primarily responsible for maintaining the Facilities Electronic Document Management System (EDMS) database and Facilities workstation functionality. Provide and track website EDMS access via password. New electronic file submissions will be entered into the database and records created. Existing hardcopy drawings will be evaluated for potential scanning and addition to the database. Assist customers in drawing or information searches, create reports of file holdings, make prints or plots of drawings, and provide digital information via email or CD. Maintain condition of prints, drawers, shelves and other storage areas. Assist Resource Center Coordinator with project close out tasks as dictated by work load.

Qualifications

Associate’s Degree in Architecture, Facilities, Construction Management, or a related field involving database creation and reporting, and 2 to 3 years of experience or equivalent combination of education and experience required. Bachelor’s degree is strongly preferred.


Construction related course work or experience is a plus. At least 2 years of experience in an office environment, preferably in an architectural setting or working with databases. Working knowledge of AutoCAD drafting software is a plus. Experience with Microsoft Access, Adobe Acrobat, Microsoft Office software and network structure is preferred. Knowledge of Falcon EDMS, SQL, Website creation software and Adobe Illustrator is a plus. Ideally, candidate should be familiar with municipal documentation for utility systems, streets and other urban infrastructure. Candidate should be well-organized and able to work with a wide variety of customers. Position requires candidate to work independently on extensive, detail-oriented projects. Familiarity with the Penn campus, its history and buildings is beneficial.
