The World’s First Business School

In 1881, American entrepreneur and industrialist Joseph Wharton established the world’s first collegiate school of business at the University of Pennsylvania.

Wharton’s pioneering vision was to produce graduates who would become ‘pillars of the state, whether in private or in public life.’ The Wharton School maintains a long tradition of educating visionary business leaders in academia, business, government, and not-for-profit organizations.

Today, Wharton has expanded the scope of this vision to become the most comprehensive source of business knowledge in the world – with over 225 faculty members, 95,000 alumni, 5,000 students across 10 academic departments, 20 research centers, and more than 9,000 executive education participants annually.


Reporting to the Senior Associate Director, the Executive Assistant provides high-level, lead administrative support to the Vice Dean of Executive Education and his Senior Leadership Team. Responsibilities include but are not limited to the management of the Vice Dean’s complex calendar and meeting schedule, complex domestic and international travel, coordination of and management of additional board or committee roles and fiscal responsibility for all reimbursements.

This position implements, with great autonomy, administrative processes that support the Vice Dean and/or his Senior Leadership Team.


An Associate’s degree or two year college equivalent. Bachelor’s degree preferred. 3-5 years’ experience providing high-level executive assistant support to senior management, preferably in a university environment. Equivalent combination of education and experience is required.

Ability to work in a fast-paced, multi-tasking environment with strict attention to detail and accuracy in order to meet often competing deadlines. Proven ability to work under pressure while maintaining a highly professional demeanor, prioritize tasks and responsibilities, manage multiple tasks simultaneously, and meet deadlines.

Excellent interpersonal skills and ability to interact effectively with senior level officials, faculty, staff and partners.

Proven ability to exercise discretion in working with highly confidential and sensitive matters.

Ability to be a creative, collaborative problem-solver.

Professional presentation and dress, reflective of the Office of the Vice Dean.

Personal initiative and strong work ethic along with highly effective communications skills. Public speaking skills a plus. Demonstrated writing/editing skills with keen attention to detail and accuracy of information.

Excellent, highly developed organizational skills as well as a friendly, flexible and high customer service orientation.

Demonstrated ability to work autonomously, work cooperatively, and effectively with diverse constituencies. Ability to work early mornings/late evenings/weekends in order to execute deadlines.

*Extensive experience and advanced proficiency with technology to include but be limited to Microsoft Office (MS Word, Excel and Power Point), databases (ideally, CRM), scheduling systems, meeting management systems, virtual office communications tools, conferencing tools, and the internet.
