The mission of the Major Gifts Program is to raise major gifts ($250K – $5 million+) for University priorities, with a focus on the undergraduate schools: Nursing, the School of Arts and Sciences, the School of Engineering and Applied Sciences and Wharton. In addition, the program is charged with identifying and developing new major gift prospects and volunteer leadership for the Schools, Centers and University. Prospects assigned to the Major Gifts Program are largely comprised of undergraduate alumni, but also include parents of current undergraduate students.

Reporting to the Executive Director, the Development Coordinator will provide high-level operational and administrative support to the Major Gifts Program. With close attention to streamlining and documenting efficient and effective policies and procedures, the Development Coordinator will work closely with the Executive Director and Development Associate(s) to support the program by ensuring data integrity, providing accurate lists and reports, conducting basic prospect research and briefing materials, maintaining the prospect management system, and providing support for the day to day operations of the Major Gifts Program.

Specific Responsibilities

Provide high level support to the Executive Director by maintaining prospect pipelines, ensuring data integrity, preparing reports involving data from different sources, and creating and maintaining policy and procedure documentation.
Working closely with the Executive Director, coordinate all aspects of prospect management including submitting requests to the Prospect Management Committee, preparing and reviewing reports to ensure accuracy, and updating ATLAS (database) assignments.
Oversee logistics for all staff monthly and quarterly meetings/retreats. Provide assistance in planning of alumni campus visits.
Assist major gift officers in coordinating the details of major gift events. Event support includes coordinating logistics, compiling and coordinating review of complex mailing and invitation lists, preparing the invitation, taking RSVPs, preparing event materials, and, if needed, staffing the event.
Provide ongoing training to major gift officers and support staff in ATLAS and data entry techniques to comply with policy and to ensure consistency and quality.
Working closely with the prospect research team, use analytical and data-mining skills to support the efforts of Major Gift staff to identify new prospects with an emphasis on strategic priorities and high-end annual donors. Prepare briefing documents as needed.
Establish stewardship processes for major gift officers to send thank you letters to their prospects.
Serve as back-up for all gift processing.
Undertake ongoing training and education to maintain necessary skills and up to date knowledge of pertinent policies and procedures.
Assume responsibility for special projects and administrative tasks across the office as assigned.


High School diploma required, Bachelor’s degree preferred; 5-7 years progressively responsible office experience or equivalent combination of education and experience required. Proficiency in all Microsoft applications, including Word, Excel, and Powerpoint, is required. Excellent organizational, interpersonal, communication, and technical skills. Familiarity with office procedures, practices and methods essential. Experience with entry, reporting, and analysis of complex data. Ability to exercise judgment, initiative and analysis in carrying out duties. Highly motivated and strong attention to detail. Creative problem-solver who can excel working on both independent and collaborative projects; ability to prioritize assignments & bring multiple tasks to completion. Represent the office and the University with a high level of professionalism. Familiarity with University of Pennsylvania and its constituencies helpful. Willing to travel and work occasional evenings and weekends as needed. Valid driver’s license required.
