Duties

Reports to the Director of Development in Penn Medicine Development’s Individual & Organizational Giving Division.
Serve as coordinator within the Office of Penn Medicine Development and Alumni Relations (PMDAR) in support of the Abramson Cancer Center (ACC) Development team. Supporting a Director of Development and three Associate Directors of Development, who support various fundraising program areas within Penn Medicine, the Abramson Cancer Center & Department of Radiation Oncology (ACC/DRO), the Abramson Cancer Center at Pennsylvania Hospital, the Basser Center for BRCA, and network affiliates of the University of Pennsylvania Health System. Responsible for planning and coordinating aspects of the day-to-day operation of these programs.

Specific Responsibilities:

1. Support a Director of Development and three Associate Directors of Development on activities related to frontline fundraising, prospect portfolio management, and all management activities related to oversight of ACC/DRO and related programs.

2. Responsible for support of the Basser Center for BRCA, overseen by supervisor. Including, but not limited to, support of Basser Center Leadership Council, the Young Leadership Council, biennial Basser Jean Bash, bi-annual meetings with the Founding Donors, reports management, annual Breakthroughs and Discoveries event, as well as other duties as assigned.

3. Prepares correspondence: drafts, formats, and proofreads letters, proposals, etc.

4. Organizational activities on behalf of supervisors including filing, copying, distribution and data entry, maintains calendars, makes arrangements for meetings and travel, and prepares expense account forms. Tracks all expenditures for supervisors.

5. Supports cultivation and stewardship events, including planning, execution and staffing events.

6. Coordinates all prospect management systems, Atlas tracking, reporting, and records Atlas and prospect management entries for supervisors.

7. Provides information to faculty, staff, alumni, students, volunteers, trustees, and grateful patients concerning the PMDAR and ACC/DRO teams.

8. Interface, problem solve and execute projects with multiple colleagues across the University, including Gifts Administration, Basser Center leadership, faculty and staff, as well as the Services/events/communications team at PMDAR and ACC.

9. Manages and maintains confidential files, records, and databases.

10. Uses conventional spreadsheets and database programs to maintain databases on prospects.

11. Composes and signs routine correspondence; prepares standardized reports.

12. Performs other duties as assigned.

Qualifications

High school diploma required. Bachelor Degree preferred. 5-7 years administrative and/or professional experience with progressively complex responsibilities preferred. Excellent organizational, interpersonal and technical skills, as well as incredible attention to detail and excellent communication skills preferred. Knowledge of best practices in organizing data and preparing data analysis, utilizing Microsoft Office Suite, with particular strengths in excel and PowerPoint. Thorough and comprehensive knowledge of office procedures, practices and methods. Ability to handle complex and highly confidential materials. Ability to lift up to 25 lbs. The incumbent works on a daily basis with and through senior institutional officers, trustees and volunteers, administrators, faculty, grateful patients, and development/alumni affairs/ public affairs colleagues, and must have experience, judgment, and communications skills commensurate therewith.
