School/Center Overview

The Perelman School of Medicine at the University of Pennsylvania is the oldest and one of the finest medical schools in the United States. Penn is rich in tradition and heritage and at the same time consistently at the forefront of new developments and innovations in medical education and research. Since its founding in 1765 the School has been a strong presence in the community and prides itself on educating the leaders of tomorrow in patient care, biomedical research, and medical education.


The primary responsibilities of this position include providing administrative support for the academic missions of the Chair and for the Neurology Department. Schedules appointments and meetings, coordinate meeting arrangements, and arranges travel. Plan events including but not limited to board/committee meetings, faculty socials, workshops, and symposiums. Drafts and proofreads routine correspondence, seminar announcements/flyers and minutes. Writing and grant preparation experience is highly desired. Provide other senior level office support, including greeting, escorting and directing guest speakers during visits. Handling reimbursements and knowledge of the concur expense system is a plus. The individual must have excellent written and verbal communication skills, excellent interpersonal skills, and a strong customer service orientation. Writing samples will be requested. This person will provide back-up support to senior administration as needed. Perform other duties as needed or assigned.


The minimum of a High School diploma and 5 years of progressively responsible administrative experience, or an equivalent combination of education and experience, are required. College degree or coursework preferred. Preference for previous experience in a college or university setting. Demonstrated ability to effectively set priorities, handle multiple assignments and tasks simultaneously, understand importance of strict confidentiality requirements, be flexible, and work productively within deadlines and under pressure. The candidate must possess excellent organizational skills, attention to detail, and commitment to excellence. Must be reliable, have a strong work ethic and bring initiative and enthusiasm to his/her work. The position requires strong computing skills in all areas of Microsoft Office, including Word, Excel, PowerPoint, and Outlook.

We are seeking a candidate who exhibits an engaged and responsible attitude and possesses the ability to work effectively with both Senior Level faculty and staff members to support the academic missions of the Chair and for the Neurology Department. We are seeking a candidate with strong follow-up skills and the ability and desire to add value to the research missions of the department. The successful candidate should clearly demonstrate the ability to communicate guidelines with constituents in a professional, diplomatic and assertive manner. A successful candidate will exhibit a professional presence which will allow the candidate to take ownership of research processes, and an ability to react quickly in a deadline-driven environment is highly preferred. A successful candidate will possess an ability to switch gears depending on project deadlines and an ability to collaborate well with individuals of diverse backgrounds and skill sets within different areas of the School. The individual must be eager to take on greater responsibility and proactively work on professional development skills.
