JOSEPH WHARTON, FOUNDER
In 1881, American entrepreneur and industrialist Joseph Wharton established the world’s first collegiate school of business at the University of Pennsylvania.

Duties

The academic department business administrator is responsible for the administration and management of the Accounting Department. Direct and manage all business and academic processes including payroll, purchasing, budget administration, computing services, facilities management, human resource management, faculty affairs (personnel actions), administration of academic affairs including courses, teaching assistants, etc. Responsible for writing and/or coordinating department communications, faculty and doctoral student recruiting and appointments. Directly supervise three full time administrative and academic support staff and coordinate job assignments. Prepare quarterly performance appraisals for staff. Coordinate administrative support for 21 standing faculty, 25-30 associated faculty and teaching assistants, and up to 12 doctoral students and visiting scholars. Prepare and analyze complex financial reports. Manage department endowments and calculate useable income for faculty salaries or other appropriate expenses as outlined in trust agreements. Maintain and track faculty salary distributions, staff payroll and doctoral student stipends. Monitor and approve all departmental expenses including reimbursement expenses for faculty and doctoral program. Oversee departmental purchasing, accounts payable, facilities management and security. Apprise the chairman of department’s financial status and serve as department liaison to Wharton School senior financial administrators as well as University departments (i.e., Registrar, Comptroller’s office, Purchasing. HR Records, etc)
In addition to faculty, academic, financial and HR affairs, the business administrator oversees two journals, the planning of three conferences, planning of departmental events, and any faculty initiatives. This position has a dual reporting relationship and reports directly both to the Department’s Chair and the Vice Dean of Finance and Administration.

Qualifications

Bachelor’s degree and 5 to 7 years of experience or equivalent combination of education and experience. Knowledge of University policies and procedures and experience in that environment a plus. Must have excellent analytical ability. Knowledge of accounting and managerial administrative software packages preferred: i.e., Excel, Word, Ben Financials, UMIS, PennWorks, PENNANT, Data Warehouse. Highly organized and focused with attention to detail. Strong verbal and written communication skills necessary.
