Duties

The Office of Programs & Special Events (P&SE) plans over 170 events per year and supports all departments within Development & Alumni Relations. P&SE also oversees all DAR events during Alumni Weekend, Family Weekend and Homecoming Weekend. Our events are located on campus, domestically and internationally.

Serving as Associate Director and reporting to the Director, responsibilities include all aspects of event planning for assigned events. This position will be required to interface with event owners and internal and external goods and services vendors providing all varieties of support for the events assigned.

Specific Responsibilities:
Work with the Development and Alumni Relations staff as a planner of 30+ annual events including Homecoming Weekend, Family Weekend and Alumni Weekend. Plan, manage and execute all aspects of event including managing venues, vendors, budgets, contracts, volunteers, staffing student
organizations, and legal affairs. Highest level of clients includes University of Pennsylvania VIP’s, High End Donors, Trustees, Overseers, Board of Directors and Academy Members.

Plan, develop and execute ideas, themes, and concepts for events. Offer support to peer planners as needed for execution of events.

Qualifications

College degree required with 3-5 years of experience in special events planning with a preference for experience with alumni relations events. Excellent writing, communication and interpersonal skills required. Must be highly organized and self-initiating while working as a member of a team within a goal-oriented environment. Must be able to manage simultaneous projects. The ability to work under pressure and meet deadlines is essential. Frequent weekend and evening work required. Frequent off campus events and extensive travel required. Valid driver’s license required.
